GoHighLevel for Estate Agents: It Will Not Replace Your CRM

GoHighLevel works for estate agents, but not as the CRM most agents think they are buying. It will not run sales progression, AML checks or your portal feed, and it does not need to. Its job is the layer in front of all that: answering every Rightmove and Zoopla enquiry in under a minute, chasing every valuation request until it books, and waking up the database you already paid to build. Judge it as that layer and it earns its place in the first month. Judge it as a Reapit or Alto replacement and you will cancel by week three.

I run an agency that has built automation for 500+ businesses, a fair number of them property teams, and the same scene keeps repeating. An owner demos GoHighLevel, asks where the sales progression board is, hears silence, and files the whole platform under toys. Then they go back to a shared inbox where last night's buyer enquiries sat unanswered for eleven hours.

The portal generates the enquiry. Nothing in your stack owns the reply. That gap is what you are actually buying.

The mistake: expecting it to be Reapit

Reapit, Alto and Street are systems of record. They hold the property, the chain, the compliance file and the completion date, and they are built for exactly that. Nothing in that category is designed to text a buyer back 40 seconds after a 9:47pm Zoopla enquiry, run a twelve month sequence on a vendor who said "maybe in spring", or recover the calls your office misses while everyone is out on viewings.

So the comparison fails in both directions. GoHighLevel loses the CRM comparison on purpose: no AML workflow, no chain management, no portal listing feed. Your CRM loses the follow-up comparison just as badly. You are not choosing between them. You are deciding whether the enquiry-to-appointment layer should exist in your agency at all, because right now, in most agencies, it does not.

The demo question

"Can this replace our CRM?"

It cannot, and it does not try to. Walking away here keeps the real problem.

The buying question

Today the honest answer is nobody until morning, and the buyer emailed two other agencies the same minute.

"Who answers our portal leads at 9:47pm?"

The job it actually does: the front layer

The build that works is boring and repeatable. Portal enquiries arrive as notification emails, so a small bridge reads each one, creates the contact in GoHighLevel, and fires two things inside the first minute: a text and an email, sent under the negotiator's own name, with a live booking link. Missed calls trigger a text before the caller finishes dialling the next agency. Valuation requests drop into their own pipeline with follow-up measured in months, because vendors decide slowly and most follow-up dies within a week.

Be clear about what is missing, because the sales pitch will not be. There is no official Rightmove or Zoopla integration; the notification email bridge is the standard route, and it works, but it is a build, not a toggle. And everything stays in front of your CRM: once the viewing is booked or the instruction is won, the record moves into Reapit or Alto and lives there. On price, the self serve plans are $97 for Starter and $297 for Unlimited, and the number that actually decides your bill is the add-on layer underneath them, which I took apart in our GoHighLevel pricing teardown.

The UK rules the sales pitch skips

GoHighLevel ships with American defaults. A2P 10DLC registration, the hoop every Facebook group argues about, is a US carrier requirement. Your constraint is PECR, enforced by the ICO with fines of up to £500,000. The short version: replying to a person's own enquiry is fine, and fast replies are exactly what this layer is for. Marketing beyond that needs consent. Texts and emails to individuals require an opt in, the soft opt in covers your existing clients but never a bought list, and cold calls must be screened against the TPS first.

The platform will not police any of this for you. I tested the calling side directly in Does GoHighLevel check consent before an AI call, and the answer is no: it sends whatever you load into it, to whoever you load into it. Consent is a build requirement you own, not a feature you can assume. The email half of the rules is in our PECR guide for the UK.

Four moves to make this week

None of this needs a rebuild of your agency. It needs four pieces of plumbing, in this order.

01
Wire the portals into one pipe
Forward Rightmove, Zoopla and OnTheMarket notification emails into a parser that creates the contact and fires an instant text and email under the negotiator's own name, with a live booking link. Reply speed is the only variable in the enquiry you fully control, which is why it is the first thing we build for property teams.
02
Split buyers from vendors at intake
A buyer wants a viewing this week. A vendor wants a valuation on their own timetable. Give each a pipeline, and let the vendor sequence still be checking in politely eleven months from now, because the instruction goes to whichever agent is present when they finally decide.
03
Turn on missed call text back
Every missed office call gets a text inside a minute with a direct booking link. Enquiries peak at the exact hours your negotiators are out on viewings, which makes this the cheapest fix on the list.
04
Reactivate the database you already paid for
Past applicants and old valuation leads, contacted under the soft opt in with a market update worth reading, and calls screened against the TPS. Most agencies sit on years of paid-for enquiries nobody has spoken to since. The list is the asset; the build is plumbing.

The bottom line

Keep your CRM. It does a job GoHighLevel cannot do and was never built to do. Then be honest about the layer in front of it: if every portal enquiry already gets a personal reply inside a minute, at 9pm, on a Saturday, you do not need any of this. No agency I have audited is close. We build this exact stack for property teams in two to four weeks, on your numbers and your templates, with the compliance rules above wired in from day one. Frequently Asked Questions

No. Those are systems of record for sales progression, compliance and portal listing feeds, and GoHighLevel does not attempt any of that. It runs the layer in front: instant enquiry response, valuation nurture, missed call recovery and database reactivation. Agencies that get value from it run both, and hand won business into the CRM.
Not natively, because there is no official portal integration. The standard build forwards each portal's lead notification email through a parser that creates the contact in GoHighLevel and triggers the instant text and email reply. It works with Rightmove, Zoopla and OnTheMarket because all three notify agents by email.
Replying to someone's own enquiry is fine. Beyond that, PECR applies: marketing texts and emails to individuals need consent or the soft opt in for existing clients, cold calls must be screened against the Telephone Preference Service, and the ICO can fine up to £500,000. GoHighLevel does not check consent for you, so the list you load is your responsibility.
The self serve plans are $97 a month for Starter and $297 for Unlimited, and a single branch agency usually starts on Starter. The real bill depends on the add-ons and the usage credits for calls and texts underneath those plans, which move the number more than the headline price does.
